Changing second factor

This user guide helps employees and students to change the second factor of their already set up multi-factor authentication. This is necessary if the smartphone or YubiKey has been lost.

Open the Servicedesk form Zweiten Faktor ändern (Changing second factor, in German). 

Use the drop-down to select the desired method to confirm your identity:

Then select the service for which you want to change the second factor. 

Click on Erstellen (Create). 

Employees

If you as an employee do not have a u:card or a digital signature (mobile phone signature/ID Austria), the only option available to you is Digitale Unterschrift von Kollege*Kollegin (Digital signature of colleague). Contact your manager if you do not know of a colleague with a digital signature (mobile phone signature/ID Austria).

Identity verification via video telephony, as offered to students, is not possible for employees.

Students

If you as a student do not have a u:card or a digital signature (mobile phone signature/ID Austria), you can use the identity check by the Teaching Affairs and Study Services service unit. Note that this option takes significantly longer than the other methods and only choose it if it is absolutely necessary.

u:card

After you have created a ticket using the Servicedesk form Zweiten Faktor ändern (Changing second factor, in German), you have 4 hours to validate your u:card at a u:card terminal.

After successful validation, the following applies:

  • VPN: Your request will be processed by a ZID employee (on weekdays). Please allow for corresponding waiting times. You will receive a message as soon as you can change the second factor.
  • Microsoft 365: Your second factors will be automatically deleted within 20 minutes. You will be prompted to set up a second factor the next time you log in to Microsoft 365. Set this up as soon as possible to ensure the security of your Microsoft 365 account.

Digital signature

To confirm your identity, sign a document via mobile phone signature or ID Austria within 48 hours.

  1. After you have created a ticket using the Servicedesk form Zweiten Faktor ändern (Changing second factor, in German), you will receive an e-mail with a link to your University of Vienna e-mail address.
  2. Use this link to sign the document deposited for you via mobile phone signature or ID Austria within 48 hours.
  3. After a successful signature, it will be checked by a ZID employee (on weekdays). Please allow for corresponding waiting times. You will receive a message as soon as you can change the second factor.

Digital signature of colleague

An employee of the University of Vienna with a valid employment contract signs a document via mobile phone signature or ID Austria within 48 hours and thereby confirms that your identity has been verified.

  1. Inform the employee who is to confirm your identity personally about this request in advance.
  2. After you have created a ticket using the Servicedesk form Zweiten Faktor ändern (Changing second factor, in German), the employee will receive an e-mail with a link to their University of Vienna e-mail address.
  3. They will be asked to sign a document via the link within 48 hours using mobile phone signature or ID Austria and thus confirm your identity.
  4. After a successful signature, it will be checked by a ZID employee (on weekdays). Please allow for corresponding waiting times. You will receive a message as soon as you can change the second factor.

Students

DLE Studienservice und Lehrwesen

In addition to Digital signatureDigital signature of colleague and u:card, a fourth method is available for students: Identity verification by the Teaching Affairs and Study Services unit.

After you have created a ticket using the Servicedesk form Zweiten Faktor ändern (Changing second factor, in German), you will receive a proposed appointment for an identity check via video telephony to your University of Vienna e-mail address within a few working days.  

You will need a valid passport or identity card and a device (laptop, PC, smartphone or tablet) with which video telephony is possible.

After your identity has been successfully verified:

  • VPN: Your request will be processed by a ZID employee (on weekdays). Please allow for corresponding waiting times. You will receive a message as soon as you can change the second factor.
  • Microsoft 365: Your second factors will be automatically deleted within 20 minutes. You will be prompted to set up a second factor the next time you log in to Microsoft 365. Set this up as soon as possible to ensure the security of your Microsoft 365 account.
