Microsoft 365 for students
This user guide helps students to order, activate and extend the software product Microsoft 365 – Office Apps and Teams free of charge via AcadCloud.
Please note
When ordering Microsoft 365 – Office Apps and Teams, you must not have an active licence for the Microsoft 365 Apps for Students (1-year subscription) product. Be sure to return an active subscription of Microsoft 365 Apps for Students (1-year subscription) via AcadCloud before placing an order.
Before returning Microsoft 365 Apps for Students (1-year subscription), remember to back up any data you still need from OneDrive.
You can switch from Microsoft 365 Apps for Students (1-year subscription) to Microsoft 365 – Office Apps and Teams in AcadCloud at any time (recommended).

Acquiring Microsoft 365
- Open AcadCloud.
- Click Login in the top right corner and log in using your valid u:account for students.
- Confirm that you have read the Datenschutzerklärungen (privacy statement) and click Weiter (continue).
- Enter Microsoft 365 in the search field.
- Select the product and click on the Add to basket button.
- Click the shopping cart symbol and check your order.
- If you are eligible to purchase the relevant product, the Checkout button is displayed.
- Click Checkout and continue by following the ordering process. First, you have to agree to the terms of license in Disclaimers to proceed with your order.
- By clicking the Purchase € … button, you complete your order of free products.
- After that you will receive an order confirmation via e-mail.
You will receive the following e-mails from SoftwareONE:
- Order confirmation
- Account information for your Microsoft account at the University of Vienna
Note
Note that provisioning can take up to 2 hours.
Activating Microsoft 365 and setting up second factor
A Microsoft account is created during the ordering process.
Your Microsoft account at the University of Vienna is:
- User name: u:account-UserID@univie.ac.at (for example, doejami1@univie.ac.at)
- Password: u:account password
Log in to the Microsoft 365 portal with your Microsoft account of the University of Vienna.
A second factor must be set up for the first call. By default, Microsoft Authenticator is suggested as the method for the second factor. However, the following methods can also be selected:
- Other authentification app
- phone number
- security key (YubiKey)

Installing software
Installing Office desktop apps
You can use the web apps and download the Office desktop apps via the Microsoft 365 portal.

Installing the Teams desktop app
The Teams desktop app is not included in the Office apps package and must be downloaded and installed separately .

Renewing a licence
The licence for Microsoft 365 – Office-Apps und Teams expires 12 months after ordering. You can extend the licence in AcadCloud as long as you are admitted to study at the University of Vienna. You must connect to the internet at least once every 30 days to check the status of your subscription.
- Open AcadCloud and log in with your u:account.
- Click on the extension button next to the order.
- Add the product Microsoft 365 – Office-Apps und Teams to the shopping cart with a click on the button.
- Open the shopping cart via the shopping cart symbol.
- Follow the steps in the order process.
As soon as you have successfully completed the order, your licence will be extended by 12 months.
If you do not renew Microsoft 365 – Office-Apps und Teams, your Microsoft account and your data in the Microsoft cloud (Teams, OneDrive) will be irrevocably deleted after 30 days . After deleting your Microsoft account, you will no longer be able to use Microsoft 365 – Office-Apps und Teams at the University of Vienna.
Back up all data that you still need. If necessary, use the user guide Managing OneDrive storage space.
