Setting up device-based licence for Microsoft 365 on shared device
Requirements
- Areas of application: Laboratories, computer rooms, classrooms and lecture halls, as well as for dedicated lecturer PCs or notebooks (in designated and assigned rooms)
- Centrally managed PC
Assignment and installation of the centrally managed PC using Empirum in a DEU/ENU group subordinate to one of the configuration groups A*-LAB or lecture hall PC group, for example FU\77\Desktop\A727-LAB\DEU or HS\77\Desktop\A727\DEU
Licensing and administrative guidelines
- Use outside the areas of application specified under Requirements is prohibited.
- The licence terms must be complied with: Shared device means a device not used by any one person more than 50% of the time during a single working day period, and not assigned to any primary user as their primary work device.
- This rule applies only to Microsoft 365. For any other software programs that may be installed (or access to various servers), it must first be ensured that the user is also permitted to use the respective necessary software licences (or access licences) under licence law and that these are also available to a sufficient extent.
- For new as well as existing groups in Empirum, you can apply for these via the Servicedesk form LAB- und HS-Gruppen für Empirum beantragen (Apply for LAB and HS groups for Empirum, in German).
Obtaining device-based licence
To assign a device-based license to a centrally managed PC, perform the following steps in the specified order:
- First, order the product m: Microsoft 365 (Zusatzpaket) – Installation der Office-Apps auf zentral verwalteten Geräten for the relevant device in the self-service portal. The software will then be automatically installed on the device.
- Once the installation of the package m: Microsoft 365 (Zusatzpaket) – Installation der Office-Apps auf zentral verwalteten Geräten has been completed, order the product m: Microsoft 365 (Zusatzpaket) – Installation für gemeinsam genutzte Geräte (Installation for shared devices) in addition in the self-service portal to apply the activation of the device-based license to the installation of the Microsoft 365 Office apps on the device.
Activating Microsoft 365
As soon as a centrally managed device is assigned a device-based license, Microsoft 365 is activated on that device. Through the process of activating a device-based license, the corresponding devices are added to the Entra ID (Azure Active Directory) of the Microsoft cloud (University of Vienna tenant) (hybrid join).
