u:print staff – printing for employees
The u:print staff service enables organisational units at the University of Vienna to provide printers for their employees. They can print, copy and scan on u:print staff devices.

You have two options for logging in to a u:print staff device:
- Hold your u:card for employees or your access card/chip against the card reader. Before logging in for the first time, you must link the card/chip to your u:account.
- Enter your u:account access data (userID and password) on the touchscreen.

The following services are available to you:
- Printing
- Copying
- Scanning
Printing and copying is subject to a charge. The services are automatically invoiced to the cost centre allocated to you in i3v. Scanning is free of charge.
Note
Do notshut down the u:print staff device. It is connected to a remote monitoring system that reports malfunctions and automatically re-orders toners.
The device automatically switches to standby mode after 50 minutes of inactivity and remains connected to the remote monitoring system. Alternatively, you can manually put the device into standby mode by pressing the button with the moon symbol.
Sending a print job
You have several options for sending or transferring print jobs to a u:print staff device:
- From any PC or laptop connected to the University of Vienna’s data network (e.g. via cable or Wi-Fi) and on which u:print staff is configured as a printer
- From any external PC or laptop connected to the University of Vienna’s data network via VPN and on which u:print staff is configured as a printer
- Directly at a u:print staff device via an external data storage medium (e.g. flash drive)
Your print job will then appear in the list of print jobs on the u:print staff device.
The default setting on u:print staff devices is A4 paper size and single-sided printing in black and white.
Print jobs can be executed in black and white or in colour. You can select black-and-white or colour print when you send the print job from your PC or laptop.
You can choose between A4 or A3 paper size. You can select A4 or A3 when you send the print job from your PC or laptop.
For larger, smaller (e.g. A5) and uncommon paper sizes (such as a letter), you have to determine the paper size and scaling directly at the u:print-staff device.
For print jobs that you send from your PC or laptop, all file types are supported for which the associated programmes are installed on the respective device.
Print jobs via flash drive can only be submitted for:
- PDF files
- Common image formats (such as JPG, GIF, TIFF, PNG)
All other file types must first be converted to PDF files for print jobs via flash drive. You can obtain the relevant software online.
Ordering u:print staff
- Fill out the form Vereinbarung über die Einrichtung und Nutzung von u:print-Services (PDF) (Agreement on the setup and usage of u:print services, PDF, in German) and have it signed by the head of your organisational unit.
- Use the Servicedesk form u:print staff bestellen (Ordering u:print staff, in German) to send a scan of the signed form to the ZID.
- The ZID then signs the form and returns it to you.
The contract is concluded for a period of 60 months and cannot be terminated within this period.
Costs for the organisational unit
The costs payable by the organisational unit are determined by the basic price and the price per page (= price per printed page).
The organisational unit is notified in writing about the current prices. Prices may be adjusted from time to time due to increases in the consumer price index. The organisational unit will be notified if any of the suppliers raise their prices.
The specified prices (basic price and price per page) only apply until the recommended page volume specified for the device is reached. If there are more print and copy jobs, the manufacturer may invoice additional maintenance costs. These will be invoiced in full to the organisational unit.
Basic price
The basic price includes the rent for the u:print staff device, a monthly service fee as well as the rent for optional hardware (all prices including VAT).

Price per page
The price per page applies per printed page. It is determined on aquarterly basis, itemised according to user and invoiced to the organisational unit.

These prices apply to all types of devices.
Choosing a location
The u:print staff device requires a power supply and a network connection.
When choosing a location, please ensure that the location complies with the fire and security regulations. If necessary, consult with the Facility and Resources Management of the University of Vienna.
Replacing toners
The touchscreen of the device displays a message if the printer is running out of paper, if the toner is running low or if the waste toner box needs to be emptied. New toners and new waste toner boxes will be delivered automatically.
The device indicates when a toner replacement is required, which can be easily carried out by the user. Empty toner cartridges can be recycled by the organisational unit. Full waste toner boxes are disposed of in the household waste.

Alternatively, you can contact the Canon Service directly via telephone, specifying the serial number of the device (label on the u:print staff device): T: +43-1-66 165. In most cases, a technician will take care of the device in question within 24 hours.

Note
Please ensure that someone is available on site for the agreed service appointment with Canon. Otherwise, Canon will invoice the organisational unit with 300 euros in travel expenses.
The repair/maintenance is not included in the regular price if
- the malfunction was caused by deliberate property damage or the use of unsuitable material (such as non-copyable print media or unsuitable toners)
- the maintenance work could have been carried out by yourself according to the instruction manual.
