Managing space groups in u:wiki

This user guide will help administrators create a group in their u:wiki space and add or remove group members.

Requirement

To create a space group in a u:wiki space, you must be an administrator of that space.

Basics

The group name is automatically prefixed with the space abbreviation (Space Key) (example: com-group1).
The created group is available in the entire u:wiki and can be used by all administrators to assign permissions in their space (not recommended).

Creating a space group

Open the Wiki space in which you want to create the group.
Click on the ⚙ Space tools button at the bottom of the left-hand sidebar and select the Permissions entry.

Under the Groups section, click on + Create Space Group.

Enter a name for the new space group. The name is automatically prefixed by the space abbreviation (space key).
Set the permissions for the space group by activating the desired checkboxes. Scroll all the way to the right to see all the options.
Click on the Create Group button.

Adding group members

After creating the group, you have to add the desired group members.

To do this, click on the person icon (Add/Remove Members) next to the group name.

A new window will open. Under User mode, you can add individual persons to your group.

Type the name of the desired person in the input field and select the correct entry from the suggestions that are automatically displayed.

The person will be added. Click on Close in the bottom right-hand corner.

Note

The link Switch to group mode takes you to Group mode. In this mode, you can select role groups, organisational groups and other space groups to add their members to your new space group with a single click.

Enter the name of the desired group in the input field.
Click on the Add to group name button.

Use this option wisely:

Members who have been taken over from another group can only be deleted individually from the new space group. It is not possible to remove them all together with a single click (analogous to the transfer).
Changes to the group from which you have taken over members are not automatically made in the new space group.

The ZID recommends that you only use this function to select space groups with a manageable number of members.

Removing a group member or deleting a group

Click on the person icon (Add/Remove Members) next to the group name.

A new window will open. Under User Mode, you can remove individual group members or delete the entire group:

Remove group member: Click on the trash can icon next to the name of the person you want to remove from the space group. Click on Close at the bottom right. The person will be removed from the group immediately.
Delete group: Click on the Delete group button at the bottom left and then on Confirm. The group will be deleted immediately.
