Searchbot
The service complements the website search function. This makes finding information more efficient, intuitive and interactive – a step towards a modern, accessible and user-friendly website.
To ensure the quality of the responses, the Searchbot uses 2 approaches:
- Editorially prepared content from the ZID website
- Specially adapted instructions for the chatbot

Privacy and security
The University of Vienna provides the Searchbot in compliance with data protection regulations. In principle, personal data may be processed. Sensitive data within the meaning of Article 9 GDPR shall not be processed.
- Monitoring and log data are stored exclusively on local servers at the University of Vienna. This data is used solely to improve the service and is cleared after a maximum of 30 days.
- No personal data of users is stored. Only anonymised session IDs and the associated chat histories are recorded.
- Microsoft does not store any prompts, model outputs or metadata (such as date, subscription) from the AI models used. The University of Vienna's Enterprise Agreement with Microsoft includes a zero-data-retention clause. Data processing takes place exclusively in Microsoft data centres within the European Union.
Note
The AI software should, if possible, be used in such a way that no personal data is processed. If this is not possible, anonymised data must be processed. If this is also not possible, the principle of data minimisation must also be observed for clear data: only process data that is absolutely necessary with the AI software.
Technical setup
- The software for crawling web pages and the Searchbot itself are hosted on the ZID infrastructure.
- The open source project Dify is used as the chatbot platform.
- The open source project Firecrawl is used as the website crawler.
- The Searchbot's AI components are integrated via Microsoft Azure. Models used:
