Backing up shared u:cloud files

For:  students    employees

This user guide will help you back up files and folders that were shared with you from a deleted u:cloud account.

Note

You will be notified by e-mail if a u:cloud account that has shared files or folders with you has been deleted.

  • After receiving this notification, you will have 30 days to save this data outside of u:cloud.
  • After the expiry, the shared data will be cleared and cannot be restored.

Backing up files via the browser

  1. Open the u:cloud website – enter your u:account UserID and password – click on the arrow icon next to Shared in the menu – Shared with you
  2. Click on the 3 horizontal dots ⋯ next to the files that the deleted u:cloud account shared with you – Download
  3. Save content

Detailed user guide

  1. Open the u:cloud website. You will be automatically redirected to the Weblogin of the University of Vienna. Log in with the UserID of your u:account (example: doejamie99) and the corresponding password.
  2. Click on the arrow icon next to the Shares entry in the menu on the left to open the submenu.
  3. Click on Shared with you to display all files and folders that have been shared with you.
  4. The u:cloud account that shared content with you is displayed to the right of the file or folder name. Click on the 3 horizontal dots ⋯ next to the u:cloud account that was deleted according to the e-mail notification.
  5. Click on Download.

Save the content

  • in a different folder in u:cloud
  • or outside of u:cloud, for example locally on your device, on a mobile data storage device (USB flash drive, external hard drive) or in your personal storage space.

Note

If you want to save particularly large files or folders, or if your internet connection is weak, the download may be interrupted. In this case, use the locally installed u:cloud software to back up your files.

Backing up files with the u:cloud software

  1. Open the u:cloud website – enter your u:account UserID and u:account password – click on the arrow icon next to Shares in the menu – Shared with you
  2. Make a note of the names of the files that the deleted u:cloud account shared with you
  3. Configure, set up and open the u:cloud software – Synchronise now
  4. Open File Manager – Open the u:cloud folder – Shared
  5. Select, copy and save the relevant content

  4. The u:cloud account that shared content with you is displayed to the right of the file or folder name. Make a note of the names of the files and folders that the deleted u:cloud account shared with you.
  1. Configure the u:cloud software on your device if you have not already installed it. Use the user guide in Accessing u:cloud with a locally installed software.
  2. Start the u:cloud software and click Sync now to synchronise the content shared with you.
  1. Open the u:cloud folder in your device's file manager (e.g. Windows Explorer) and open the Shared folder.
  2. Select the files or folders you want to back up.
  3. Copy the contents
    • to another u:cloud folder
    • or save them outside u:cloud, for example locally on your device, on a mobile data storage device (USB flash drive, external hard drive) or in your personal storage space.

Note

If you want to continue storing the shared content in u:cloud, you must copy it.

It is not sufficient to move it to another u:cloud folder. When you move the files, the system will still recognise them as shared and clear them after 30 days as announced.
